Home-to-school transport is the most stable revenue an independent UK operator can hold: fixed routes, fixed hours, fixed term dates, and payment from a local authority rather than a member of the public. It is also the contract type most often lost through paperwork rather than performance.

Recurring routes and term calendars
A route is a template, not a job: the same pupils, in the same order, on school days only, excluding INSET days and holidays. The system should generate the term's jobs automatically and let you amend a single day without breaking the pattern.
Compliance gating at assignment
This is the feature that protects the contract. The system should refuse to assign a driver whose enhanced DBS, licence, badge, insurance or safeguarding training has expired, and warn 30 days before any document lapses. Manual spreadsheets fail this test predictably.
Boarding and alighting records
The driver or passenger assistant confirms in the app that each named pupil boarded and was handed over. Timestamped, stored, exportable. When a parent claims a child was left waiting, this record is the whole defence.
Parent and school notifications
Dispatch notification, approaching notification, safe-arrival confirmation. Most complaints are about uncertainty, not lateness — notifications remove the uncertainty.
Absence and amendment handling
Parents report absence the night before or the morning of. The system should let the office mark a pupil absent for a date, skip the stop, and preserve the billing rule the council contract specifies.
Council-format invoicing
Per-route or per-pupil, per-journey counts, purchase order references, and a term-end reconciliation. Getting this wrong delays payment by weeks.

Pricing a school contract
- Cost the route, not the mile. Include dead running to the first pickup and back from the school.
- Cost the passenger assistant separately where the contract requires one — it is frequently the difference between profit and loss.
- Assume 190 operating days and confirm the council's rule for absences and school closures.
- Fund 30–60 days of working capital. Councils pay in arrears.
- Target 15–25 percent net. Below that, one vehicle failure erases the term's margin.
How to choose a system for school work
- Does it block assignment of a driver with an expired DBS or badge? If not, reject it.
- Can it produce a pupil-level journey record for an audit within minutes?
- Does one licence cover both contract routes and ordinary taxi work?
- Are parent notifications included, or a paid add-on?
